Overview

The Team Fleet Administrator is the first line of contact for field service workers with respect to any fleet equipment issues.  The Administrator coordinates with the field service managers to determine which trucks, trailers, aerial lifts, and other fleet equipment are due for maintenance, repair, or replacement.  

Responsibilities

  1. Assist field service technicians and branch managers with scheduling maintenance and repair services for fleet equipment at all Mazzella, New Tech Machinery, and Sheffield Metals locations
  2. Process payments for outside vendors Mazzella does not have credit terms with, and facilitate processing of credit terms with new vendors
  3. Coordinate required annual DOT inspections of covered trucks and trailers
  4. Maintain fleet maintenance records in accordance with the DOT requirements and company document record retention policies
  5. Process registration transactions for new, existing, and disposed fleet equipment
  6. Update fleet software applications with vehicle additions, deletions, and technician assignment changes
  7. Create binders for new units, and update existing binders with new registrations, insurance, etc.
  8. Manage secure storage unit assignments for field service technicians who cannot park their equipment at their homes
  9. Support WEX card users with fueling and authorization issues, ordering new and replacement fuel cards, and running periodic fuel reports
  10. Assist safety with accident repair scheduling of fleet equipment involved in accidents
  11. Shuttle fleet equipment to and from outside vendors in the Bartow area
  12. Coordinate rental vehicles with field service technicians who have vehicles out of service for maintenance or repair
  13. Assist HR with post-accident drug and alcohol testing, as well as DOT physicals for field service technicians
  14. Arrange transport of fleet equipment between branch locations to support technician growth and fleet needs
  15. Other duties as assigned

Qualifications

Education

  • A high school diploma or GED is required; experience in fleet vehicle management, automotive dealership or independent repair shop environments preferred

Experience & Skills

  • At least one year of hands-on experience working in a fleet management, vehicle dealership, or independent repair shop environment, or the equivalent combination of education and experience is required
  • Valid driver’s license in good standing that meets company requirements
  • Administrator standard schedule is 40 hours per week but must have the ability to work varied hours and/or overtime as required
  • Requires solid written and verbal communication skills
  • Strong analytical, conceptual, and planning skills are required
  • Excellent math skills and overall PC literacy (Microsoft Office) are required
  • Must be detail oriented, self-motivated, and disciplined with the ability to multi-task
  • Must successfully complete a criminal background check, drug screen and E-verify
